Don't Let Your Finances Haunt You!

DON’T LET YOUR FINANCES HAUNT YOU!
A Financially Unsound Business Is a Haunted House Waiting to Happen
By Mr. Mynell | Mynell Counting House
There’s something wonderfully unsettling about an old haunted house. The floors creak, the windows rattle, the lights flicker, and somewhere in the darkness, something is making a noise that nobody particularly wants to investigate.
Now, imagine that haunted house is your business.
The doors are open, the lights are on, and customers are coming and going. From the outside, everything appears perfectly respectable. But behind those walls? There may be some financial skeletons rattling around in the closets.
And unlike the ghosts in your favorite Halloween story, these financial phantoms are very real.
The frightening truth is that a financially unsound business rarely becomes haunted overnight. It’s usually the result of little things left unattended until they become something considerably more terrifying.
So, grab your lantern, mind the cobwebs, and join me as we explore the haunted house of business finances.
The Ghost of Transactions Past
Something is lurking in your books…
Every haunted house has a history, and so does every business.
Perhaps there’s an expense from six months ago that never got categorized. Maybe an old invoice remains unpaid. Or perhaps those bank reconciliations haven’t been completed since the last time someone remembered to change the batteries in the smoke detectors.
These seemingly harmless oversights have an unpleasant tendency to return.
Unreconciled accounts can conceal duplicate transactions, missing deposits, incorrect balances, and other financial discrepancies. What starts as a minor bookkeeping inconvenience can eventually become a monstrous cleanup project.
How to exorcise this ghost: Keep your bookkeeping current. Reconcile accounts monthly, categorize transactions accurately, and review outstanding receivables and payables.
After all, the past should stay in the past, not come shambling out of your accounting software at tax time.
The Vampire in the Cash Flow
Something is draining the life out of your business.
Every good Gothic tale needs a vampire.
Unfortunately, in business, the vampire doesn’t necessarily wear a cape or sleep in a coffin. Sometimes it looks like an unnecessary subscription, excessive overhead, poor pricing, or customers who take entirely too long to pay their invoices.
Cash flow problems are especially insidious because a business can appear profitable on paper while struggling to pay its bills.
You may have plenty of sales, but if the money isn’t arriving when you need it, your business can find itself in a very precarious position.
How to drive a stake through this problem: Review your cash flow regularly. Monitor payment cycles, establish reasonable cash reserves, evaluate recurring expenses, and make sure your pricing supports your actual costs.
Remember, revenue may keep the lights on, but cash flow makes sure the electricity bill gets paid.
The Tax Monster in the Basement
You knew it was down there. You just hoped it would stay quiet.
Ah, the basement.
Every haunted house has one, and every business owner knows that certain things are best not left festering in the dark.
Taxes are one of those things.
Failing to set aside money for income taxes, overlooking payroll tax obligations, or neglecting estimated payments can create a truly frightening surprise.
And unlike the monsters in the movies, the tax authorities don’t disappear when you turn on the lights.
How to tame the monster: Plan for taxes throughout the year rather than treating them as an annual surprise. Maintain accurate records, monitor your obligations, and consult your qualified tax professional before the filing deadlines arrive.
A little preparation can prevent an awful lot of screaming.
The Poltergeist of Disappearing Profits
Things keep moving around, but nobody knows where the money went.
You’ve been busy. Sales are coming in. Customers seem happy. Business is booming!
So why is there never any money left?
Welcome to the poltergeist of disappearing profits.
This particularly mischievous spirit thrives in businesses that confuse revenue with profit.
Just because money comes through the door doesn’t mean it belongs in your pocket. Operating expenses, taxes, debt payments, inventory, and other obligations all demand their share.
Without a clear understanding of your profit margins, you may be working harder and harder while taking home less and less.
How to send this spirit packing: Review your Profit and Loss statement regularly. Understand your gross and net profit margins, establish a plan for owner compensation, and consider implementing a system such as Profit First to allocate funds intentionally.
Your business should provide you with a livelihood, not simply give you another expensive hobby.
The Skeletons in the Financial Closet
What you don’t know can absolutely hurt you.
There is an old saying about skeletons in the closet, and nowhere is it more appropriate than in financial management.
Unrecorded liabilities, improperly classified expenses, inaccurate inventory figures, and neglected financial reports can all hide behind the illusion of a successful operation.
Perhaps the most dangerous thing about these skeletons is that they can remain invisible until someone opens the wrong door.
That someone might be a lender, an investor, a potential buyer, or your tax professional.
Suddenly, those bones start falling out all over the floor.
How to clean out the closet: Maintain accurate financial statements, periodically review your Balance Sheet, investigate unusual balances, and make sure your financial records reflect what is actually happening in your business.
A clean set of books is much easier to explain than a closet full of financial mysteries.
Don’t Wait Until the House Is Falling Down
Here’s the thing about haunted houses: they rarely start out haunted.
Once upon a time, they were perfectly lovely homes.
But years of neglect, unanswered questions, and unattended problems eventually transformed them into places where nobody wants to spend the night.
Businesses aren’t so different.
Poor bookkeeping, inadequate financial planning, and a lack of oversight can turn even a promising enterprise into a house of horrors.
Fortunately, unlike the unfortunate characters in most ghost stories, you don’t have to wait until it’s too late to escape.
A good bookkeeper can help illuminate the dark corners, identify potential problems, and establish the systems necessary to keep your business on solid financial ground.
And while I can’t promise to rid your office of actual ghosts, I can certainly help you deal with some of the financial ones.
